TextCare is centered around text messaging, using technology that allows patients to initiate care 24/7 with a simple text. Providers use HIPAA-compliant software that augments the EMR to seamlessly communicate with patients via text, encrypted messaging, voice, and video calls - meeting patients in their preferred channel so they can receive care or expert advice when they need it most.

About the Role:

The TextCare After Hours Practice Coordinator plays a critical role in keeping TextCare operations running smoothly during evening hours. As the primary operational point of contact from 4pm-12am ET, you’ll monitor the health of the practice in real time, support our virtual care team, respond to changing patient demand, and quickly troubleshoot operational issues as they arise.

This is a highly hands-on, execution-oriented role for someone who thrives in a fast-paced environment, exercises sound judgment, and enjoys solving problems in real time. You’ll work closely with providers, operations leadership, and other cross-functional partners to ensure patients receive a seamless experience and our care team has the support they need to succeed.

What You Will Do:

  • Own After-Hours Practice Operations: Serve as the primary operational point of contact for TextCare during evening hours. Monitor the virtual “clinic,” identify emerging issues, and take ownership of resolving or escalating problems to keep operations running smoothly.
  • Monitor Patient Demand: Keep a close eye on patient volume, wait times in our virtual “waiting room,” provider capacity, and other key operational indicators throughout your shift. Take action early to maintain a strong patient experience.
  • Drive Smart, Responsive Staffing: Monitor care team coverage against real-time patient demand and respond quickly when needs change. Coordinate coverage for unexpected absences, volume spikes, or other staffing gaps and escalate when additional support is needed.
  • Enable Team Success Through System Access: Ensure care team members have working access to all systems and tools needed for success (e.g., patient messaging platforms, internal knowledge management systems, EMRs, additional productivity software). Keep access limited to active employees via regular audits of users. Assess urgency, troubleshoot what you can independently, and escalate complex system concerns through the appropriate channels.

Preferred Qualifications:

  • Strong judgment and demonstrated ability to independently prioritize and resolve issues in a fast-moving environment, leading with a bias for action
  • Organizational and project management skills; able to manage multiple priorities in a fast-paced environment
  • Excellent interpersonal and communication skills; able to communicate and interface with patients, care team members, and operational leaders with ease
  • Comfortable working with technology, systems, and data to drive consistency and efficiency in processes
  • 2+ years of experience in operations, practice coordination, healthcare administration, customer operations, or a related role (preferred but not required - we welcome new grads!)
